Conditions of Participation

These Conditions of Participation apply to all participants accepted into the [theoriae doxa] residency programme.

 

The programme is organised by Inštitut abeceda.abeceda, Dunajska cesta 10, 1000 Ljubljana, Slovenia, operating as .abeceda Institute, hereafter referred to as the Organiser.

 

 

1. Acceptance and Confirmation

 

Admission to [theoriae doxa] is subject to formal acceptance by the Organiser.

 

Following acceptance, applicants are invited to confirm their participation within the stated deadline.

 

Confirmation of participation constitutes a commitment to the programme and acceptance of these Conditions of Participation.

 

If confirmation and/or the required first payment is not received within the stated deadline, the Organiser may release the participant's place.

 

 

2. Participation Fees and Payment

 

The applicable participation fee is stated in the application information and confirmed upon acceptance.

 

A one-time administrative fee applies to confirmed participants and is charged in addition to the participation fee. Where payment by instalments is agreed, the administrative fee is payable with the first instalment.

 

Where payment by instalments is selected, the participant remains responsible for the full agreed participation fee according to the communicated payment schedule.

 

Failure to meet the agreed payment schedule may result in suspension or termination of participation.

 

Scholarships, reductions, or alternative payment arrangements apply only where confirmed in writing by the Organiser.

 

 

3. Withdrawal and Refunds

 

Where a participant qualifies as a consumer and a statutory right of withdrawal applies under applicable consumer protection legislation, the participant may withdraw from the participation agreement within fourteen (14) days from its conclusion, without giving a reason, by sending an unequivocal statement of withdrawal to the Organiser at info@abeceda.io. 

 

Once an accepted applicant has confirmed participation, participation and administrative fees are non-refundable.

 

This applies in the event of:

– withdrawal before or after the programme has commenced;

– withdrawal during the programme;

– non-attendance or partial participation;

– cancellation by the participant;

– inability of the participant to complete the programme.

 

Where payment by instalments has been selected, withdrawal or non-attendance does not release the participant from the remaining agreed payment obligations.

 

These provisions remain subject to any mandatory rights available under applicable law.

 

 

4. Programme Commitment

 

[theoriae doxa] is conceived as an integrated residency combining independent critical inquiry, artistic research, collective exchange, online seminars, and in-person programme activities.

 

Participants are expected to:

– attend and actively engage with scheduled programme activities;

– present and discuss their research or artistic practice as required by the programme;

– meet communicated artistic, research, and administrative deadlines;

– prepare materials requested for presentations, documentation, or programme communication;

– maintain professional communication with mentors, participants, collaborators, and the coordination team.

 

Participants are responsible for informing the Organiser as early as possible of circumstances affecting their participation.

 

 

5. Programme Schedule and Changes

 

The Organiser may make reasonable changes to the programme where required by artistic, academic, organisational, logistical, technical, or other circumstances.

 

Changes may include adjustments to:

– seminar dates or times;

– mentors, moderators, or collaborators;

– programme sequence or format;

– presentation schedules;

– venues;

– festival activities;

– online or in-person delivery;

– working-group or symposium arrangements;

– research presentation formats;

– publication-development arrangements.

 

Where possible, participants will be informed of significant changes in advance.

 

Reasonable adjustments that do not materially alter the overall character of the residency do not constitute cancellation of the programme or automatically give rise to a right to reimbursement.

 

 

6. Research and Artistic Presentations

 

Participants are responsible for the intellectual content, preparation, development, and presentation of their own research, writing, curatorial, critical, or artistic projects.

 

Projects may enter the residency at different stages of development. They may take the form of a developing paper, essay, lecture, research project, curatorial proposition, institutional analysis, archival inquiry, critical text, artistic-research project, or another form of independent critical practice compatible with the programme.

 

The residency is process-based. Projects are not expected to remain fixed in the form proposed at application and may develop through presentation, discussion, source examination, methodological critique, writing, revision, working groups, and exchange with mentors and peers.

 

Participants may therefore be expected to clarify, revise, restructure, expand, reduce, or otherwise transform aspects of their projects where this becomes necessary or productive within the research process.

 

The form, duration, format, and scheduling of presentations may be adapted to the requirements of the programme and festival.

 

The concluding on-site phase may include research presentations, lectures, working groups, symposia, public discussions, or other formats developed within the residency.

 

Participation in [theoriae doxa] I. does not guarantee an individual lecture, presentation, publication, or other specific public outcome.

 

Participation in [t. d.] does not guarantee publication, external dissemination, or presentation by any third-party journal, publisher, institution, or platform unless such an opportunity is separately confirmed in writing.

 

Any editorial or publication process offered in collaboration with an external partner may be subject to separate selection, editorial review, deadlines, and conditions.

 

 

 

 

7. Research Materials, Sources, and Evidence

 

Participants are responsible for identifying, accessing, preparing, and supplying the sources, documents, recordings, bibliographic materials, research data, drafts, and other resources required for their proposed projects unless otherwise agreed in writing.

 

Participants are responsible for the accuracy, attribution, contextualisation, and responsible use of sources and evidence incorporated into their research or presentations.

 

Where projects involve archival, documentary, recorded, visual, textual, or other third-party materials, participants are responsible for identifying relevant permissions, restrictions, or other conditions governing their use.

 

Participants should communicate material source, access, copyright, confidentiality, or technical considerations sufficiently in advance where these may affect presentation, documentation, publication, or public dissemination.

 

 

8. Publication and Collaboration with Tempo

 

Selected contributions developed within the residency may be considered for publication in Tempo: The Quarterly Review of New Music, published by Wolke Verlag.

 

Participation in [theoriae doxa] I. does not constitute an offer or guarantee of publication in Tempo.

 

Any consideration for publication is subject to the editorial processes, standards, selection, revision requirements, deadlines, and independent editorial decisions of the relevant publication.

 

The Organiser does not guarantee acceptance, publication date, final editorial form, or continued consideration of any contribution.

 

Where publication is pursued, participants remain responsible for the accuracy, originality, attribution, permissions, and other rights-related aspects of their submitted material.

 

 

9. Auditors

 

Auditors may attend the programme activities specified for the relevant edition and participate in discussions where appropriate.

 

Unless otherwise explicitly agreed, auditors do not present their own research or artistic project and are not included among the programme's documented research presentations.

 

 

10. Festival Participation and Travel

 

Participation in the on-site festival phase in Bled from 14–25 June 2027 is not obligatory in person, and attendance in person is not required for the full duration of the festival. Participants may take part remotely in parts of the programme where this is feasible and agreed with the Organiser.

 

Where a participant attends in person, they are required to be present for their own presentation and for any other activities, rehearsals, discussions, or programme components that have been specifically confirmed as mandatory or scheduled for their participation by the Organiser.

 

Participants attending in person are responsible for their own travel, accommodation, insurance, visas, meals, transportation, and related personal arrangements unless explicitly stated otherwise in writing.

 

Participants joining online programme activities are responsible for ensuring adequate internet access, equipment, software, and technical setup required for their participation.

 

 

11. Public Programme Information

 

[theoriae doxa] includes public artistic, research, and educational activities.

 

Information necessary for presenting and documenting the programme may therefore be made publicly available, including:

– participant names;

– biographies and professional affiliations;

– titles and descriptions of research or artistic projects;

– ensemble or interdisciplinary group names and members;

– programme credits;

– photographs supplied for programme purposes.

 

Such information may appear in programme books, publications, websites, press materials, social media, festival communications, and institutional archives.

12. Photography, Recording and Documentation

 

Programme and festival activities may be photographed, filmed, audio-recorded, livestreamed, or otherwise documented for purposes connected with the presentation, communication, documentation, and archival record of [theoriae doxa] and its associated activities.

 

Such documentation may remain publicly accessible as part of the artistic, research, institutional, and historical record of the programme.

 

Where a specific use requires additional permission or licensing, this will be addressed separately.

 

 

13. Intellectual Property

 

Participants retain copyright and other intellectual property rights in their original research and artistic work unless otherwise agreed in writing.

 

By participating in the programme, participants authorise the presentation of materials submitted for the purposes of their participation and their reasonable use in programme documentation, communication, and archival materials.

 

Participants are responsible for ensuring that materials submitted or presented by them do not unlawfully infringe third-party rights and for obtaining any necessary permissions.

 

Participants are additionally responsible for ensuring that quotations, images, recordings, scores, archival materials, excerpts, datasets, translations, and other third-party materials used in their projects may lawfully be used in the relevant research, presentation, documentation, or publication context.

 

Publication or extended reproduction of a participant's work beyond ordinary programme documentation will be subject to separate arrangements where required.

 

 

15. Professional and Academic Conduct

 

Participants are expected to maintain professional, respectful, and academically responsible conduct throughout the programme.

 

Particular responsibility applies to research discussion, peer review, working groups, and public discourse, where participants are expected to distinguish evidence from speculation, acknowledge sources appropriately, respect intellectual differences, and contribute to a working environment based on attentiveness, reciprocity, rigor, and responsibility.

 

Serious misconduct, harassment, repeated disruption, plagiarism, material misrepresentation, or substantial breach of programme obligations may result in restriction or termination of participation.

 

Where appropriate, the participant will be informed of the issue and given a reasonable opportunity to address it.

 

Termination resulting from a serious breach by the participant does not automatically create a right to reimbursement, subject to applicable law.

 

 

14. Cancellation or Material Changes by the Organiser

 

If the Organiser cancels the programme in its entirety and does not provide a substantially equivalent alternative, participants will be entitled to reimbursement of participation fees paid for programme services not provided, subject to applicable law.

 

Where circumstances outside the Organiser's reasonable control affect individual seminars, presentations, personnel, venues, festival activities, or practical components, the Organiser may provide an alternative schedule, format, venue, collaborator, or comparable programme activity where reasonably possible.

 

Such circumstances may include changes affecting mentors, contributors, venues, festival activities, working-group arrangements, technical conditions, or publication-related opportunities.

 

Reasonable adjustments that do not materially alter the overall character of the residency do not in themselves constitute cancellation of the programme or automatically create a right to reimbursement.

 

 

15. Privacy and Data Protection

 

Personal data is processed in accordance with the [theoriae doxa] Privacy Policy and applicable data protection legislation.

 

 

16. Applicable Rights

 

Nothing in these Conditions is intended to exclude or restrict rights that cannot lawfully be excluded under applicable consumer or other mandatory legislation.

 

If any provision of these Conditions is found to be invalid or unenforceable, the remaining provisions remain applicable to the extent permitted by law.
